PhoneBot ("we", "us", "our") provides an AI phone-answering service for businesses in Ireland. For the purposes of the General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018, the data controller is [Your registered company name], [registered address]. We process personal data on the basis of your consent (e.g. submitting a form), the performance of a contract (providing the service to a client), and our legitimate interests in operating and improving our business, balanced against your rights.
Where calls are answered by our service, callers are informed at the start of the call that the call is handled by an automated assistant and may be recorded. Recordings and transcripts are used to deliver the lead to the business and to maintain service quality.
We share data with trusted service providers who help us run PhoneBot — for example voice-AI, telephony, hosting and messaging providers — strictly to deliver the service. These providers process data under agreements that require appropriate safeguards. We do not sell your personal data.
Some of our providers may process data outside the European Economic Area. Where this happens, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.
We keep enquiry data only as long as needed to respond and, where relevant, to provide our service. Call recordings and transcripts are retained for [retention period, e.g. 30 days] unless a longer period is required by law or agreed with the client.
